Privacy Policy
This policy explains how Edumanager Information System Ltd (“EduManager”, “we”, “us”) handles personal data in the EduManager web platform at edumanagerinfosys.ng and the EduManager mobile app. We are registered with the Nigeria Data Protection Commission (NDPC/DCP/00935) and process personal data in line with the Nigeria Data Protection Act 2023.
1. Who is responsible for your data
Schools use EduManager to run their administration. For records about students, parents and staff, the school is the data controller: it decides what is collected and why. EduManager is the data processor and handles that data only on the school’s instructions.
For the details of the schools that subscribe to EduManager and the people who manage those subscriptions, EduManager is the data controller.
2. The data we handle
School records
- Profiles: names, admission or staff numbers, date of birth, gender, contact details, addresses and photographs of students, parents and staff.
- Academic records: class and subject enrolment, scores, report cards, report card comments, behaviour and skills ratings, attendance, assignments, CBT attempts and lesson plans.
- Financial records: fees, payments, receipts and payroll information.
- Signatures: signatures that staff upload to print on report cards.
Account and usage data
- The email address or user code used to sign in, and your password, which is stored only in hashed form.
- Records of sign-ins and key actions, kept to protect accounts and investigate problems.
Mobile app
- A notification token for your device, so that we can send you notifications such as published results or recorded attendance.
- Photos and files you choose to upload, such as a profile photo, an assignment file or a signature. The app uses the camera or photo library only when you choose to add one.
3. How we use it
- To provide the services the school has subscribed to, such as results, attendance, fees, assignments and communication with parents.
- To sign you in and keep accounts secure.
- To send notifications that relate to your school account.
- To provide support, fix problems and improve the service.
- To meet our legal obligations.
We do not use school data for advertising and we do not sell or rent it to anyone.
4. Who we share it with
We share personal data only where needed to run the service or where the law requires it:
- Your school, which controls the records it holds about you.
- Government bodies, such as the Ministry of Education, where the law or the school’s arrangements require it.
- Service providers that work on our behalf, such as hosting, notification delivery (Google Firebase Cloud Messaging) and payment processing. They may use the data only to provide their service to us.
5. Children’s data
Student accounts are created by schools, not by students themselves. A student’s data is handled on the school’s instructions, and parents and guardians can exercise rights over their child’s data through the school or by contacting us.
6. How we protect it
Data is encrypted in transit and at rest. Access is limited by role: a teacher sees only the classes they are assigned to, parents see only their own children, and students cannot change their records. Our staff access school data only when needed to provide support or keep the service running.
7. How long we keep it
School records are kept for as long as the school uses EduManager, or as the school instructs. When a school stops using EduManager, we return or delete its data as agreed with the school. Copies in backups are removed as the backups are replaced. We keep some records for longer where the law requires it, for example payment records.
To delete an individual account, see our Account Deletion Policy.
8. Your rights
Under the Nigeria Data Protection Act 2023 you have the right to:
- ask for a copy of the personal data held about you;
- ask for incorrect data to be corrected;
- ask for your data to be deleted;
- object to or ask us to restrict certain processing;
- complain to the Nigeria Data Protection Commission.
Because schools control their records, we may pass your request to your school or ask for its confirmation before acting on it.
9. Cookies
The website uses cookies that are needed to keep you signed in and to protect forms against misuse. We do not use advertising or tracking cookies.
10. Changes to this policy
We may update this policy as the service changes. The date at the top shows when it was last updated. We will tell schools about significant changes before they take effect.
